Key Intelligence Takeaways
- The knowledge source matters as much as the model.
- Access control must apply to retrieval, not only the user interface.
- A visible unknown answer is better than unsupported confidence.
An internal knowledge assistant is not simply a private chatbot. It is a search and response workflow that must connect the right person to the right approved information without exposing material they should not see.
The design starts with the knowledge collection. Policies, manuals, product information, and process notes need owners, versions, access rules, and a way to identify outdated material.
ANALYSIS // 01
Prepare the knowledge layer
Documents should be organised by purpose, ownership, version, and access. Chunking or indexing cannot fix a source library where duplicate documents contradict one another and nobody knows which version is current.
The assistant should preserve links or references to source passages so a user can verify an answer and report a bad source.
- ✦Source ownership
- ✦Version and freshness
- ✦Access metadata
- ✦Source references
ANALYSIS // 02
Design for uncertainty
The assistant needs a supported response when no source answers the question. It can ask for clarification, explain that the information was not found, or route the request to an owner.
This behaviour should be tested with incomplete, conflicting, and deliberately misleading inputs. A fluent answer is not evidence that retrieval succeeded.
- ✦Clarifying question
- ✦Unknown-answer response
- ✦Conflict handling
- ✦Escalation route
ANALYSIS // 03
Measure usefulness
Measure answer usefulness, source correctness, time saved, repeated questions, and reports of missing or outdated content. User satisfaction alone may not reveal whether an answer was accurate.
A knowledge assistant becomes more valuable when feedback improves the source library and the workflow around it.
- ✦Source-grounded answer rate
- ✦Correction rate
- ✦Time to find information
- ✦Knowledge gaps identified
